Purpose of PositionOn-Call Administrative Assistants assist in covering absences of our regular employees in the main and secondary offices and provide administrative support where needed.The main responsibilities of this position are to greet and direct all visitors of both offices, provide first aid to students for minor injuries, and perform a variety of entry- level administrative tasks.Successful candidates will interact with a broad range of colleagues, faculty, students, parents, and community members. They must be comfortable interacting with all adults and children at all levels of the organization. Reception CoverageWarmly greet all staff, students, parents, and visitors who come to the main entrance or the secondary reception of CFIS, and professionally, politely and promptly respond to requests and inquiries.Answer all incoming calls, assist when possible, and redirect as necessary.Maintain security by following procedures, monitoring logbooks and issuing visitor badges.Act as designated first contact person for minor first-aid needs. Clerical SupportProvide administrative support, including but not limited to data entry and filing.Perform occasional photocopying, scanning and laminating.Assist with special projects, activities and events as needed.Other duties as requested. Essential Qualifications: Fluent in French is an asset.Prior experience as a receptionist and/or administrative assistant.Highly professional oral and written communication skills.Proven ability to demonstrate discretion and maintain confidentiality.Ability to work independently and be a self-starter.Competent technology skills, including working knowledge of Microsoft Office (Excel, Word and PowerPoint), Google Calendar and Google Sheets is required.Prior experience with Powerschool is an asset.A valid first aid certificate is an asset. The successful applicant will need to provide a recent Police Information Check with Vulnerable Sector Screening prior to commencing work.
